For State & Local Governments
Prepare for records requests before you need the messages.
When public business happens by text, finding the record can become a department-wide search through phones. FirmScribe captures covered conversations and delivers them to your archive, so mobile messages can follow the records process you already manage.

Messaging coverage
Capture options depend on the service and configuration.
Bring official conversations into your existing process.
A project update from the field. A scheduling decision between departments. A conversation with a resident. Official business does not always arrive by email. Establishing capture gives covered mobile conversations a destination before someone needs to retrieve them. Records staff can then use the archive's search and retrieval tools for the messages delivered there.
Match capture to the way each department works.
Start with the employees, devices, and conversations your policy covers. A work-device deployment may call for full capture. A personal-device deployment may need selected work threads. FirmScribe supports both approaches through supported configurations. Review the appropriate scope with records staff, IT, and counsel, then give employees clear instructions about participation.

Give records staff and IT clear responsibilities.
A useful capture plan answers three practical questions.
What belongs in scope?
Records staff identify covered employees and official conversations. IT confirms the devices, accounts, and services involved.
Where do messages go?
Review delivery to your archive and the point at which its existing retention, search, and retrieval processes take over.
Who follows up?
Assign onboarding and ongoing account follow-up, including who contacts an employee when capture needs attention.
Keep capture visible after enrollment.
Administrative visibility, activity logging, and alerts help your team identify accounts that need attention. Establish a routine for reviewing issues and involving the right departmental contact. That gives a small records or IT team an agreed process for follow-up as employees join, leave, or change their setup.

FirmScribe administration tools.
Start with one department, then plan from experience.
Choose a defined group with a known device setup and archive destination. Use that initial scope to resolve configuration, employee instructions, and administrative responsibilities before considering additional departments.

Can employees use personal phones?
Review the device and account configuration with us. Selective thread capture can support a narrower business scope, with employee responsibilities defined by your organization's policies.
Can we capture conversations from before enrollment?
Historical capture can include available messages from before enrollment. We will review availability for the proposed configuration.
Does FirmScribe replace our archive or records review?
FirmScribe captures and delivers messages. Your archive manages retention, search, and retrieval. Your organization continues to make its records review and disclosure decisions.
